Day 34 of the 60 Days Value Series is about invoicing and billing systems. I build the software that creates your invoices, records every payment, sends receipts and reminds clients who have not paid, so you get paid faster and always know where your money is.

How much money is your business owed right now?
Most business owners cannot answer that question quickly. An invoice was typed in Word last month and sent from a phone. A client paid half by mobile money and promised the rest next week. Another client says they paid, but nobody can find the transfer. A third invoice was never sent at all, because the person who prepares invoices was busy.
At the end of the month, you know you did a lot of work. You are less sure how much of it was paid for. And when a client asks for a copy of a receipt from March, someone goes searching through old messages and folders.
None of this means you are bad at business. It usually means your billing lives in too many places: documents, chats, notebooks and memory. This post is for business owners, freelancers, consultants, finance officers, schools, clinics and service companies asking, "How do I keep track of what clients owe me?" If you are searching for invoicing software in Liberia or a billing system in Monrovia, this is for you.
What is an invoicing and billing system in plain language?
Think of it as one careful accounts clerk who never forgets a client, never loses a receipt and politely follows up on every unpaid bill. It does three jobs at the same time:
- It creates clear, professional bills. Each invoice has your brand, a unique number, the items, the due date and how to pay.
- It follows the money. Every payment, full or partial, is recorded against the right invoice, and the balance updates by itself.
- It does the follow-up. Receipts go out when a client pays, and reminders go out when they do not.
An invoice you never followed up is a discount you never meant to give. A billing system makes sure every piece of work you deliver becomes money you receive.
What does this look like in real work?
I built Invoicer, an AI-powered invoicing and billing platform built with Next.js, Gemini AI and Postgres. It lets a business create invoices, track payments and expenses, and use AI to scan receipts, draft reminders and summarize revenue. You can see it on the projects page.
I also use what I build. My own business runs on an invoicing and receipt system I built myself. It creates branded invoices, records part payments, sends reminders on a schedule and issues numbered receipts with a code that anyone can scan to check that the receipt is genuine. When I recommend a feature to you, it is because I rely on it too.
The same care goes into larger systems. The Starz University Mobile App, which I built, is available to more than 15,000 students and faculty and runs on AWS with 99.9% uptime and a 90% cut in operating cost. You can read that story in the Starz University case study.
What does the invoicing and billing service include?
The service takes you from scattered documents and chats to one system that tracks every bill from the day it is sent to the day it is paid. You do not have to start with all of it.
1. Learning how you bill today
I start with your real process. Who prepares invoices? Do clients pay a deposit first? Which payment methods do you accept? Do you bill in US dollars, Liberian dollars or both? Who is allowed to give a discount or cancel an invoice? A system built on guesses creates a new kind of confusion, so these answers come first.
2. Clients and services in one place
Each client has one record with their contacts, their invoices and their payment history. Your services and products are saved with their prices, so an invoice takes minutes instead of an hour, and prices stay consistent between staff.
3. Branded invoices and quotes
Invoices carry your logo, colors and payment details, with a clean layout that looks professional on a phone and on paper. Quotes can become invoices with one action when the client agrees, so the details are never typed twice. The design work comes from the same person, in line with Day 1 on graphic design.
4. Payments, deposits and balances
Each payment is recorded with the date, the amount, the method and the transaction ID, whether it came by mobile money, bank transfer, cash or card. Part payments reduce the balance automatically. When a client pays in another currency, the exchange rate used is recorded with the payment.
5. Receipts that can be verified
Every payment can produce a numbered receipt that shows what was paid and what remains. Receipts can carry a code that links to a verification page, so a client, an auditor or a bank can confirm that the receipt is real and the amount was not changed. That protects your business from fake receipts and protects your clients too.
6. Automatic reminders
Polite reminders go out before the due date, on the due date and after it, by email, SMS or WhatsApp, in line with Day 3 on WhatsApp automation. You approve the wording once. Nobody on your team has to make the uncomfortable call every week.
7. Expenses and AI help
Expenses can be recorded next to income, so you see what you actually earned and not only what you billed. Where it helps, AI can read a photo of a receipt to fill in an expense, draft a reminder in your tone and summarize the month in plain words, in line with Day 24 on AI for business. You stay in control of every figure.
8. Reports that answer real questions
Who owes you and for how long? Which clients pay late? How much did you bill and collect this month, in each currency? What were your biggest expenses? These answers are ready when you need them, in line with Day 23 on business data analysis, and they can be exported for your accountant.
9. Staff accounts and accountability
Each person logs in with their own account and sees only what their job needs. Cancelling an invoice or changing a payment can require approval and is recorded with a name and a time. That protects honest staff as much as it protects the business.
10. Connecting, training and support
The billing system can connect with your website, your shop system, as in Day 31 on POS and inventory, or your school records, as in Day 32 on school management systems. I move your open invoices and client list across, train your team on the real system and stay available afterward, in line with the maintenance and support service.
What do you gain from a proper billing system?
- Faster payment. Clear invoices and steady reminders shorten the time between work done and money received.
- No forgotten invoices. Every bill is tracked until it is paid or deliberately closed.
- Fewer disputes. Numbered invoices, recorded payments and verifiable receipts settle most questions in seconds.
- A more professional image. Clients notice branded invoices and quick receipts.
- Clear cash flow. You know what is coming in and what is overdue before you plan spending.
- Less admin work. Invoices, receipts and reminders take minutes, not hours.
- Records that survive. A lost phone or broken laptop does not take your billing history with it.
Who is this service for?
- Service businesses. Consultancies, agencies, contractors, cleaning and security companies that bill clients every month.
- Freelancers and creatives. Designers, developers, photographers and trainers who need deposits and clear receipts.
- Schools and training centers. Institutions that bill fees in parts and must issue receipts for every payment.
- Clinics and pharmacies. Businesses with many small bills, insurance clients or company accounts.
- Suppliers and distributors. Companies that sell on credit and need to know exactly who owes what.
- NGOs and projects. Programs that must account for every payment and show clean records to donors.
Should you use ready-made invoicing software or have a system built?
I would rather give you an honest answer than sell you something you do not need. Ready-made invoicing tools can be a good choice if they fit how you bill and your budget. Before you sign up, check the monthly fees in US dollars, whether they support Liberian dollars and mobile money records, whether they work on your internet connection and whether you can take your data with you if you leave.
A system built for you makes sense when:
- Your billing rules, such as deposits, installments, two currencies or approvals, do not fit what ready-made tools expect.
- You want invoices and receipts that look exactly like your brand and can be verified.
- You want billing connected to your website, shop, school or other systems you already use.
- You want reminders by WhatsApp or SMS, not only by email.
- You want to own the system and not depend on a foreign vendor's prices and changes.
If a simple ready-made tool suits you better, I will say so and help you set it up properly.
How does one person who does it all save you money?
A billing system can involve a designer for the invoice layout, a developer, a database specialist, someone for the reminders, a hosting provider and a trainer. When a payment does not appear on the right invoice, each one can point to someone else.
With one person, you get:
- One person who understands your business and the software. Nothing is lost between the person who listens and the person who builds.
- The whole system together. The database, the full application and the phone-friendly screens come from the same person.
- Hosting that fits your budget. I set it up in line with Day 20 on cloud computing, so you pay for what you use.
- Security and backups included. Your financial records are protected, in line with Day 21 on cybersecurity.
- Clear pricing. One scope and one quote.
How do you know your business needs a billing system?
- You cannot say today how much clients owe you.
- Invoices are typed from scratch, and prices differ between staff.
- Clients say they paid, and it takes a long time to confirm.
- Following up on unpaid invoices depends on someone remembering.
- Finding an old receipt means searching through chats and folders.
- Your accountant waits weeks for your numbers at the end of the year.
- You worry that someone could print a fake receipt with your name on it.
What mistakes should businesses avoid with invoicing?
- Sending invoices late. The longer you wait after the work, the longer you wait for the money.
- Leaving out how to pay. Every invoice should show the accepted methods, account details and due date.
- Mixing currencies. Adding US and Liberian dollar amounts together hides your real position.
- Not recording part payments. A balance nobody wrote down is a balance nobody collects.
- Reusing invoice numbers. Every invoice and receipt should have its own number that never repeats.
- Sharing one login. When everyone uses the same account, nobody is accountable for a cancelled invoice.
- Having no backups. Your billing history should survive a broken computer.
- Not asking who owns the data. Make sure you can always export your invoices and payments.
What affects the price of an invoicing and billing system?
- How many people and branches will use it.
- Which features you need first and which can wait.
- How many open invoices and clients must be moved across.
- Whether you need installments, approvals or several currencies.
- Whether you want AI features, verifiable receipts or online payment links.
- Whether reminders go by email only, or also by SMS and WhatsApp.
- Whether it must connect with a website, shop, school or accounting system.
- How much training and ongoing support you want.
I would rather give you a clear quote for the right scope than a low number that grows later. Tell me how you bill today and I will explain what you need now, and what can wait.
How does it work?
- Listen. I learn how you quote, invoice, collect and follow up today, and where money slips through.
- Plan. We agree on the features, stages and budget, and on whether to buy or build.
- Build and test. I build the system in stages, using your real services, prices and invoice layout, and your team tests it.
- Move, train and go live. We bring in your clients and open invoices, train your team and start at the beginning of a billing month, with me on hand for the first weeks.
You receive client records, branded invoices and quotes, payment tracking with part payments, numbered receipts, reminders, staff accounts, the reports you need, backups and training for your team, plus the AI, expense and connection features you choose. You do not need one company for the invoice design, another for the software, another for the reminders and another for support, with your cash flow in the middle when the numbers do not match. You need one capable person who understands how your business gets paid and builds the whole system around it. That is what I offer.

Frequently asked questions
What is an invoicing and billing system?
It is one place where you create invoices, record payments, send receipts and remind clients who have not paid. It keeps every bill connected to the client, so you can see in seconds who owes you, how much and for how long.
Is invoicing software only for big companies?
No. A freelancer, a small shop or a consultancy with a handful of clients can lose real money through forgotten invoices. The difference is scope. A small business can start with invoices, receipts and reminders, then add expenses and reports later.
Have you built invoicing software before?
Yes. I built Invoicer, an AI-powered invoicing and billing platform to create invoices, track payments and expenses, and let AI scan receipts, draft reminders and summarize revenue. You can see it on my projects page. I also run my own business on an invoicing and receipt system I built myself.
Can it handle part payments and deposits?
Yes. An invoice can be paid in parts, and each payment is recorded with the date, the method and the reference. The system shows what was paid and what remains, and each payment can produce its own receipt with the balance clearly shown.
Can it work with US dollars and Liberian dollars?
Yes. Each invoice keeps its own currency, and payments can record the exchange rate used when a client pays in the other currency. Reports show totals for each currency separately, so the numbers are never mixed by mistake.
Can it record mobile money and bank payments?
Yes. Payments by Orange Money, Lonestar MTN Mobile Money, bank transfer, cash or card can each be recorded with their transaction ID, so you can match a payment to the right invoice and answer any question later.
Can it send reminders automatically?
Yes. Reminders can go out before the due date, on the due date and after it, by email, SMS or WhatsApp, with a polite message you approve. You can turn reminders off for a client you are already speaking with.
Can a receipt be checked for authenticity?
Yes. Each receipt can carry a unique number and a code that links to a verification page, so a client, an auditor or a bank can confirm that the receipt is genuine and that the amount was not changed.
How much does an invoicing system cost in Liberia?
The price depends on how many people will use it, which features you need first, whether you need AI features, online payments or links to other systems, and how much training you want. Tell me how you bill clients today and I will give you a clear quote.
Do you work with businesses outside Monrovia and outside Liberia?
Yes. Most of the building, setup and support can be done online, so I work with businesses in Monrovia, across Liberia and in other African countries. Training is planned around where your team is and what your connection allows.
